This policy applies when you visit our website, contact us, request a quotation, use our insurance advice or support services, or are included in an insurance arrangement we advise on or administer. It reflects applicable UK data-protection legislation, including the UK GDPR, Data Protection Act 2018 and changes introduced by the Data (Use and Access) Act 2025.

Secure Choice is a trading name of Secure Choice Advice Limited. For most information covered by this policy, Secure Choice Advice Limited is the data controller.

3. Information we collect
Depending on your relationship with us, we may collect identity and contact details; employment, business and company information; details of employees, members, dependants or beneficiaries; existing insurance, renewal, premium and benefit information; quotations, recommendations, applications and policy changes; correspondence, telephone notes and call recordings; compliance records; and technical website information.
The callback and scheme-review forms send the details you enter to contact@secure-choice.co.uk through our website hosting and email-delivery providers. The website does not place the submission in a separate client database. The message is retained in our business email systems in line with the retention periods described below.
4. Special-category information
Some insurance services require information about health, medical history, disability or claims. We only collect or use this special-category information where necessary and where an appropriate legal condition applies, and we apply additional safeguards.
5. How and why we use information
We use personal information to respond to enquiries; understand needs and objectives; obtain and compare quotations; provide advice and recommendations; arrange, renew, amend or administer policies; communicate with insurers; provide ongoing support; meet regulatory and legal obligations; manage complaints; maintain security; train staff; operate our business; and, where permitted, communicate about relevant services.
Depending on the activity, our lawful basis is that the use is necessary to perform a contract or take requested steps before one; comply with a legal obligation; pursue our legitimate interests or those of another person where individual rights do not override them; or, where appropriate, consent. Our legitimate interests include responding to business enquiries, providing and improving services, keeping records, preventing fraud, maintaining security and communicating relevant business services in accordance with direct-marketing rules.
Where we use health or other special-category information, we also identify an additional condition under UK data-protection law, such as one permitting processing necessary for insurance purposes. We document that condition and apply safeguards appropriate to the information.
6. Sources and sharing
Information may come from you, your employer or scheme administrator, members and dependants, insurers and benefit providers, previous advisers, introducers, companies within our corporate group, public sources and professional or regulatory organisations.
Where necessary, we may share information with insurers, underwriters and benefit providers; authorised employer representatives; other advisers; technology and professional-service providers; compliance reviewers; regulators, courts and authorities; and a purchaser or successor in a business transaction. We do not sell personal information.
7. International transfers
Some suppliers or insurers may process information outside the UK. Where information is transferred internationally, we use an appropriate lawful transfer mechanism and safeguards where required.
8. Automated decisions
Secure Choice does not currently make decisions about individuals based solely on automated processing where they have legal or similarly significant effects. Insurers may use automated processes under their own privacy notices.
9. Retention
We retain information only for as long as reasonably required. Unconverted website enquiries will normally be retained for up to 24 months after the last meaningful contact. Client, advice, quotation, policy and compliance records will normally be kept throughout the relationship and for at least six years afterwards, or longer where reasonably required.
10. Direct marketing
We may send relevant business-to-business service information where the law permits. We apply the UK GDPR and Privacy and Electronic Communications Regulations as applicable, and every electronic marketing message will provide a simple way to opt out. We do not use a website enquiry as permission to send unrelated marketing where consent or another valid basis is required.
11. Security
We use organisational and technical controls designed to protect information, including access controls, staff training, secure systems, authentication, backups, supplier checks and internal policies. Access is limited to people who require information for legitimate business purposes.
12. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict information; receive certain information in a portable format; object to processing or direct marketing; withdraw consent; and raise concerns about automated decision-making. Rights are not absolute where information must be retained or used for legal, regulatory or other legitimate reasons.

13. Data-protection complaints
Please contact our Data Protection Lead if you believe information has not been handled properly. We will provide an accessible way to complain, acknowledge a data-protection complaint within 30 days and respond without undue delay. You may also complain to the Information Commissioner’s Office. Complaints about our insurance advice or services should be sent to complaints@secure-choice.co.uk and are handled under our complaints process.
14. Cookies and website analytics
Cookies are small files or pieces of information stored on or accessed from your device. Essential technologies support operation, security, hosting and your cookie choice. They do not require consent where they are strictly necessary.
If you accept analytics, we use Google Analytics 4 to understand how people find and use the website, including pages viewed and interactions with contact options. We do not send the information entered into an enquiry form to Google Analytics. Google Analytics may process device, browser, approximate location and interaction information and uses cookies such as _ga and _ga_*, which can remain for up to two years unless deleted sooner.
Analytics is off until you actively accept it. We have disabled Google signals and advertising-personalisation features in our website setup. Google acts as our analytics provider and may process information outside the UK using its applicable safeguards. More information is available in Google’s privacy and data-use information.
You can accept or reject analytics when first visiting the site and change your decision at any time using Cookie settingsin the footer. Withdrawing consent stops future analytics collection on that device and removes analytics cookies accessible to this website. You can also delete or block cookies through your browser settings.
15. Other websites and children
We are not responsible for the privacy or security practices of external websites. Our website is intended principally for businesses and adults. Information about children or dependants is only processed where necessary for an employer-sponsored or family insurance benefit.
